Sharing and approving

Share links, magic links, and estimate approval.

Access

You share a document with a link — either a scoped link to a single invoice or estimate that needs no login, or (optionally) an email magic-link that lets a client contact browse their full history with you.

Links are scoped to exactly what they were generated for: a client can never see another client's documents, and links can expire or be revoked from your side.

What a client sees

  • A read-only invoice with a downloadable PDF, showing correct amount paid and balance due. With online payments set up (Pro and above), a Pay now button to pay the balance by card.
  • A read-only estimate with Approve / Reject buttons.

Approving or rejecting an estimate

When a client approves or rejects an estimate through the portal, Springtrack records who decided and when. Once decided, it can't be re-decided from the portal — if something changes, send a new estimate.

View tracking

Springtrack records when a client views an invoice or estimate (your own team viewing it doesn't count), so you can see a "Viewed" indicator on the document instead of wondering if it ever got looked at.

Approving timesheets

If a project's timesheet approval is set to Client, the client gets their own portal link for each submission — separate from invoice/estimate links, and scoped to one project, one submitter, and one period at a time.

The page shows who submitted, the period, and every time entry in it. The client can tick individual entries and approve or reject just those, or leave nothing ticked to act on everything at once. Approving needs no note; rejecting requires one, so you know what to fix. If the organisation has auto-approve turned on, the page also shows the date it'll be approved automatically if no one decides in time.

As with estimates, a decision made through the portal is final — there's no undo from the client's side.
